Title:  Maintenance Planner III

Basic Function

HollyFrontier in Artesia, NM is seeking a Maintenance Planner. This position conducts maintenance assignments and duties for the Maintenance Department under minimal supervision. Increases the efficiency of the maintenance process through the creation of safe and cost effective job plans and schedules. May direct or lead the work of others depending on location. All planning responsibilities may pertain to Instrumentation, Electrical and Mechanic work depending on assignment.

Job Duties

  • Manages maintenance planning, and scheduling process depending on assignment
  • Plan work and create job packages in alignment with industry best practices and guidelines
  • Ensures DataStream system integrity, maintains PM'™s and system cleanup, maintain planner inbox
  • Acts as liaison with other departments for scope and procedure procurement and/or purchasing department on all purchases and bid items depending on location
  • Create requisitions, contract service requests, and authority for expenditures as assigned
  • Identifies resources and cost estimates to specific job tasks
  • Continuously improve planning quality and practices

Other duties may include some or all of the following:

  • Review and assign crafts/resources to daily work authorization in DataStream D7i
  • Identify, procure, and supervise contract services as required and monitor and enforce contractor compliance to all refinery safety and environmental regulations depending on location
  • Create bid packages, award bids, and execute jobs from start to finish
  • Plan Turnaround work-steps and procedures including material, labor resources and equipment/tools
  • Perform Supervisory Relief functions as needed as well as on-call duties depending on location
  • Perform as Supervisor and liaison during actual Turnarounds and/or maintenance projects on day/night shift as assigned
  • Manage change execution.  Participate and perform permit and job auditing.
  • Oversee Environmental issues and lead safety discussions and demonstrate leadership behavior that reinforces safety policies and culture depending on location
  • Assist reliability and engineering as needed
  • Coordinate with operations in scheduling equipment for repairs, construction and developing work plans
  • Oversee quality of work, safety, and overall performance of assigned staff and track head count and verify timesheets to ensure cost and schedule compliance
  • Assemble weekly and daily work schedules for assigned employees and understand and follow protocol for the maintenance overtime policy
  • Provide and seektraining, constructive feedback, mentoring and coaching for/from subordinates and peers
  • Order materials and other special items as required including all procedures, drawings, special tool requirements, and available warehouse stock items on work authorizations
  • Create sketches, drawings, ISO's, one-lines, and bills of material for miscellaneous work and verify drawings and approval sign offs for in-kind equipment replacement
  • Participate in contract negotiations
  • Confirm field verification and dimensional checks on in-kind equipment replacements to verify conformance to specifications
  • Ensure all expenditures are maintained to the approved budget limits and invoices are processed with correct charge codes
  • Ensure management is fully informed of any potential shortfalls/problems in daily assignments as needed

Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.


A minimum of 10 years of job related experience is required.


Preferred Experience:

Construction management experience is perferred. Supervisory or Managerial experience preferred.  Project management experience perferred.  Instrument and Analyzer technician experience perferred.

Education Level

A minimum of a High School Diploma or GED equivalent is required. 


Preferred Educational Level:

Trade school or journeyman/craftsman training is preferred. A Bachelors Degree depending on location is also preferred.

Required Skills

Knowledge of refinery operations and craft knowledge. Depending on location, extensive knowledge of refinery instrumentation, electrical and rotating equipment. Knowledge of safe work practices related to the specified fields. Intermediate leadership, interpersonal, organization oral, basic reading and writing skills with the ability to perform basic mathematical calculations. Computer skills necessary to operate DataStream D7i, Microsoft Word, Excel, Outlook, and Internet Explorer. Ability to lead and train a small group of employees. Multi-tasking and team orientation skills. Self-starter and safety sensitive. Troubleshooting skills and ability to function effectively in a team atmosphere. Ability to effectively communicate with others, both written and verbal communication.

Supervisory/Managerial Responsibility

Depending on location, may provide occasional relief supervisor responsibilities of hourly maintenance employees for various foremen, or direct supervision of five salaried employees and leadership and indirect supervision to other salaried employees of the maintenance department and hourly employees as needed. 

Work Conditions

Office and field based with up to 5% travel by land and air required. Petroleum refinery, warehouse/plant environment, out-of-doors environment, and driver based environment, including but not limited to chemicals, pressure vessels, tanks, rotating equipment and working in confined spaces. Subject to varying road and weather conditions. Periodic overtime required. Required to respond to plant related emergencies and be available after hours during critical business situations depending on location.

Physical Requirements

Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, talking or hearing, making visual inspections, making precise finger and hand movements, reaching or grasping, lifting and/or carrying up to 30lbs, pushing and/or pulling up to 50lbs, climbing up to 200ft, and ability to operate and drive all assigned company vehicles at company standard insurance rates, perceiving color differences, ability to wear personal protective equipment (beards not permitted), and strenuous physical activity.
